OnCorps Reports

Effective beginning with the 2018-2019 program year, the Connecticut Commission on Community Service will utilize the OnCorps Reports portal (http://www.oncorpsreports.com/) to administer AmeriCorps*Connecticut program financial and performance reporting requirements as well as document submissions related to compliance monitoring.

AmeriCorps*Connecticut program staff (program directors and any other staff directly involved in program reporting) will be responsible for the following:

  • Participating in OnCorps trainings and reviewing OnCorps resources to support fluency in use of the platform.
  • Adhering to all Commission-issued reporting and compliance monitoring submission and clarification deadlines.
  • Ensuring that all program, staff, and service site information housed in the OnCorps Reporting portal is current and updated as necessary when changes occur.

Below please find a schedule of data and documentation AmeriCorps*Connecticut programs will submit via the OnCorps Reporting portal.

Other OnCorps Reports Functions

Member Hours

CCCS is not mandating AmeriCorps*Connecticut programs use OnCorps for managing member timesheets. However, if programs do use OnCorps Reporting for this function, their existing log in will sync with the Commission’s OnCorps system. Also, fixed amount subgrantees will need to enter member hours served into OnCorps in order to produce Fixed Amount Grant Invoices. See documentation schedule for more information.

Program Year Calendar

CCCS will maintain a program year calendar in the OnCorps Reporting Portal including reporting and compliance deadlines, trainings and events, and other AmeriCorps and national service related dates. Program directors are also welcome to use this calendar to share deadlines, events, trainings, meetings, or other important dates with Commission staff and or internally. Viewing permissions for each calendar item can be set to include a selection of program staff, site supervisors, members, and/or Commission staff as appropriate.

Directories & Reports

OnCorps Reports offers program directors the opportunity to update contact changes in program staffing, service sites, and membership directly, and can produce directories and other useful reports based on data provided.

Help

OnCorps Reports offers a user-friendly Help menu of PDF guidance and video tutorials, as well as a responsive Helpdesk.

OnCorps Grantee Progress Report

 In the OnCorps Reporting portal, AmeriCorps*CT programs are responsible for inputting performance measures and targets into OnCorps’ reporting portal for use in subsequent Grantee Progress Reports. This data will come directly from and should align with the program’s Performance Measure Module in its approved grant application. CCCS staff will review submissions for this alignment and request clarifications/corrections as necessary.

Deadline – October 15

Program Progress and Great Stories

AmeriCorps*CT programs submit data on demographics, progress on performance measure targets, and great stories via the OnCorps Reporting portal.  Programs will submit data twice a year — once at mid-year to report on the first half of the year and once at the end of the program year to report on the second half of year. The OnCorps Reporting portal will automatically add biannual data submitted to provide aggregate year-to-date totals. CCCS staff will review submissions and request clarifications/corrections as necessary.

Cost Reimbursement Financial


Budget

In the OnCorps Reporting portal, AmeriCorps*CT cost-reimbursement programs will now be responsible for inputting budget line items into OnCorps’ reporting portal for use in subsequent Quarterly Financial Reports. This data will come directly from and should align with the program’s Budget Module in its approved grant application. CCCS staff will review submissions for this alignment and request clarifications/corrections as necessary.

Deadline – October 15

Periodic Expense Report (PER) and Reimbursement Request

AmeriCorps*CT cost-reimbursement programs will submit Periodic Expense Reports via the OnCorps Reporting portal on a monthly basis. CCCS staff will review submissions and request clarifications/corrections as necessary. This form will automatically calculate your AmeriCorps funding request for expenses incurred during the month reported.

Deadline – 15th Monthly

Aggregate Financial Report (AFR)

AmeriCorpsCT cost-reimbursement programs will submit Aggregate Financial Reports (formerly Quarterly Financial Reports). In the OnCorps Reporting portal, AmeriCorpsCT programs will be able to assemble their Aggregate Financial Reports by selecting and combining previously approved Periodic Expense Reports from the reporting quarter. CCCS staff will review submissions and request clarifications/corrections as necessary.

Program Income Report 

AmeriCorpsCT cost-reimbursement programs will submit Program Income Reports (formerly submitted via narrative in Quarterly Financial Reports). In the OnCorps Reporting portal, AmeriCorpsCT programs will track in-kind and cash revenue toward collected toward their program’s match funding obligation. CCCS staff will review submissions and request clarifications/corrections as necessary.

Budget Modifications

AmeriCorpsCT cost-reimbursement programs may submit budget modifications via the OnCorps Reporting portal as necessary per requirements included in the AmeriCorpsCT Program Director Manual. CCCS staff will review submissions for approval and request clarifications/corrections as necessary.

Fixed Amount Financial


Fixed Amount Grant Invoices

AmeriCorpsCT fixed amount programs will submit Fixed Amount Grant Invoices (formerly submitted via member timekeeping tool submission via America Learns). In the OnCorps Reporting portal, AmeriCorpsCT programs will enter member hours served into a Classic Timesheet (as opposed to using their own timekeeping tool) and then “batch” those timesheets into an invoice submission representing total hours served by members during the quarter.
